What is Driver Identification in Fleet Management?

Driver identification is the process of verifying and recording which individual is operating a vehicle before and during each journey. While GPS tracking tells you where a vehicle has been, driver identification answers the question that matters just as much to fleet managers: who was driving?

 

In a shared fleet — where multiple drivers use the same vehicles across different shifts — trips, incidents, fuel use, and driver behaviour events are otherwise attributed only to the vehicle. Driver identification closes that gap. Every journey, every harsh braking event, every speeding alert, and every out-of-hours movement is linked directly to the individual driver responsible — giving fleet managers the accountability, data, and documentation they need to manage drivers effectively.

Why Fleet Managers Need Driver Identification?

Legal liability and duty of care When an incident occurs involving a fleet vehicle, identifying the driver is not optional — it is a legal and regulatory necessity in most jurisdictions. Without driver identification, fleet operators face difficulty proving who was responsible, complicating insurance claims, legal proceedings, and internal investigations.

How Driver Identification Works?

The process is simple for the driver and powerful for the fleet manager:

  1. Driver approaches the vehicle and enters their unique PIN on the keypad installed in the cab, or presents their RFID card or NFC tag to the reader.

  2. The keypad or reader authenticates the driver and sends the driver ID to the GPS tracker installed in the vehicle — via a 1-Wire data line, BLE (Bluetooth Low Energy), or RS-232 connection depending on the hardware.

  3. The GPS tracker logs the driver ID alongside all subsequent GPS, speed, and event data for that trip.

  4. The fleet management platform receives the combined data — location, speed, behaviour events, and driver identity — and attributes everything to the individual driver for that session.

  5. Fleet managers view driver-specific reports in their platform: trips by driver, behaviour scores by driver, hours by driver, and alerts triggered by driver.

 

The entire authentication process takes under three seconds. Drivers do not need to interact with any app or device other than the keypad or reader already fitted in the vehicle.

Types of Driver Identification Technology

PIN Keypad (IP68 Weatherproof) A numeric keypad installed in the cab. Each driver is assigned a unique PIN of their choosing. On entering the vehicle, the driver types their PIN and the keypad authenticates them. IP68-rated models are fully waterproof and dustproof, making them suitable for trucks, heavy plant, buses, and outdoor environments where the cab may be exposed to the elements.

 

Best for: Heavy commercial vehicles, buses, construction and utilities fleets, harsh operating environments.

 

BLE (Bluetooth Low Energy) Keypad A wireless keypad that communicates with the GPS tracker via Bluetooth Low Energy — no 1-Wire data cable required. Drivers enter their PIN as with a wired keypad, but installation is significantly faster since only a power cable is needed. Compatible with any Teltonika or Queclink tracker with BLE support.

 

Best for: Light commercial vehicles, fast deployment across large fleets, retrofitting to existing vehicles without rewiring.

 

IP68 Keypad + NFC Reader (2-in-1) A combined device offering two authentication methods in one unit: PIN entry and contactless NFC card tap. Fleet operators can assign RFID/NFC cards to drivers who prefer tap-to-identify, with PIN fallback for drivers without a card. The single unit simplifies installation while maximising flexibility.

 

Best for: Mixed fleets where some drivers prefer card-based authentication, high-turnover environments where card issuing is practical.

 

RFID Reader (1-Wire) A contactless reader connected via the 1-Wire protocol. Drivers carry a small RFID card or fob and tap it to the reader on entering the vehicle. No PIN required — identification is instant. The 1-Wire protocol is natively supported by Teltonika FMB, FMC, and FMM series trackers.

 

Best for: Fleets where speed of authentication matters, drivers who prefer not to enter a PIN, applications using existing RFID card systems.

 

iButton A small, robust metal key-shaped tag that clicks into a reader mounted in the vehicle. Each driver is assigned their own iButton. The iButton is highly tamper-resistant, works in extreme temperatures, and has no batteries to replace. Widely used in logistics and utilities fleets.

 

Best for: Harsh environments, logistics and delivery fleets, applications requiring maximum tamper resistance.

 

NFC Reader (Standalone) A standalone contactless reader for fleets using card-based driver identification without PIN backup. Drivers tap their NFC-enabled card, fob, or phone to authenticate instantly.

 

Best for: Corporate fleets with card access control already in place, high-frequency vehicle use where fast authentication is critical.
